How to get Rosterfy help:

  1. If you have access to Slack, visit the #p24-wfo-helpdesk channel. If you haven’t yet been invited to join Slack, you will receive an invitation before Games Time!

  2. Email p24wfo@onlocationexp.com if you need assistance and have not yet been onboarded into Slack.

Customs & Right to Work:

Full-time Employees & Contractors

Many countries have bilateral agreements with France, which allows travelers to enter the country and stay for 90 days without a visa. This includes countries such as the United States, Canada, and Australia. You will enter the country as normal, and you can say that you will be working on the Olympic Games.

Right to Work

  • If asked about working in country, there are two ways to validate your right to work.

  • Olympic accreditation is not a visa, but it acts as your Right to Work.

  • As a secondary validation, you will be emailed a copy of the Olympic Decree letter, which states that you will be accredited and therefore have the right to work.

  • If you have not received a copy of the Olympic Decree letter 10 days before your departure, please contact the Workforce Operations team.

Self-paced Training:

Login to Rosterfy to see your self-paced trainings in the user portal. If you have not yet been assigned any trainings, keep checking your Rosterfy portal and they will become available as soon as they are assigned. All trainings assigned in Rosterfy must be completed before your on-site arrival date, or before your in-person training date if you are local to Paris.

In-Person Training Day

In July, everyone will be assigned to a training day with their Functional Area team. This will come as a shift through Rosterfy which will also provide the location of the training.

What to Expect:

  • You will meet your Functional Area team face-to-face!

  • Your team leadership will go over details about your role, venues where you will be working, guest information and more.

  • You will receive your uniform and any other important materials.

  • You may collect accreditation with your team, or you will be instructed when to go pick up accreditation on your own.

  • Handouts will be provided, such as team contact lists.

Travel from Airports

Charles-de-Gaulle and Orly airports are outside of the city, but are connected to the city center through public transport.  

If taking a taxi from the airport, please make sure to follow these safety tips:

  • Only take official taxis: Only taxis located at stations outside the terminals are authorized to pick up customers. These taxis have a light sign on the roof that says "Taxi Parisien".

  • Avoid solicitations: Don't accept rides from people who approach you inside the terminal or at the baggage claim.

  • Check for safety features: Look for a taximeter, an official license, and a poster with fares and a regulation number on the left rear window. Avoid taxis that look unprofessional or don't have a meter.

Uniform Guidelines

All workforce will receive their uniform on-site. Most uniforms will be handed out during in-person Functional Area Training days, and each team will instruct their team members on when they are required to wear their uniform.

Everyone is encouraged to bring their own bottoms and tops to supplement in case of any shortages or laundry issues, as long as they adhere to the requirements below. Please review the uniform guidelines carefully!

  • BOTTOMS: Only black and dark charcoal pants and skirts are permitted. Skirts should be at knee-level or longer.

  • TOPS: Only pure white tops, blouses, and formal shirts can be worn. No cream colors. Collared shirts are preferred for men, while women should wear blouses or crisp white tees. As the color is white, camisoles or layering shirts for women are suggested to maintain a professional appearance.

  • FOOTWEAR (updated 11 July): P24 and the IOC have advised that ALL On Location workforce members must wear UNBRANDED shoes when in uniform, either black or white. Thank you in advance to adhering to these guidelines when wearing your uniform.

  • ON LOCATION BADGES: Team Members will been provided with an On Location Team Magnetic Badge. This badge should only be worn on unbranded apparel, such as white shirts. The badge should NOT be worn with any other uniform items that already have branding (e.g., Polo Shirt with OL Paris 2024 logos)

  • ACCESSORIES: Minimal and subtle accessories are recommended to maintain a professional look.

  • GROOMING: Ensure your hair is neatly styled and any facial hair is well-groomed.

Uniform Guidelines - Non Guest-Facing Staff

Our goal is to blend team unity, comfort, and professionalism during the long and exciting days ahead, even when you are working out of WeWork Trudaine or Colisée.

  • ​Office Attire: Feel free to wear your regular professional office attire daily for comfort! As a company, we prefer to limit denim during the Olympic Games. Preferred bottoms should be black or charcoal.

  • Professional Readiness: Even if you're not in full uniform, we trust you to be prepared to step in and help guests at a moment’s notice. Your professional attire ensures you’re always ready. It is always a great idea to keep your uniform polo shirt in you backpack to jump in as needed.

  • Team Badge: In your team uniform kit, you are provided with a magnetic team badge. Always carry your team badge to quickly attach to your top in the event you need to assist guests professionally!

  • Branding Reminder: Please follow the official Paris 2024 and IOC Guidelines by avoiding any outside brand logos on your apparel and footwear (e.g., Nike, Adidas, Under Armour). Thank you for your cooperation!

  • Social Reminder: Please remember not to wear your official uniform when you are not working or during social activities. Let's keep our professional appearance and branded apparel reserved for official duties only. Thank you!

Accreditation

Workforce Operations will be sending out emails to invite you to go and collect your accreditation from the P24 Accreditation Center. Please ONLY go to the Accreditation Center when you receive the invitation email. Your accreditation will not be ready for collection if you go to the center before receiving an email. Emails will be sent in batches as your accreditation application is approved by P24.

When you are invited to go to the Accreditation Center, please bring the personal ID you used to provide accreditation information in Rosterfy. Photos or photocopies of your ID will not be accepted.

The P24 Uniform Distribution and Accreditation Center (UDAC) is located at the South Paris Arena / Porte de Versailles Convention Centre.

More information:

  • The vast majority of the On Location workforce will be accredited on 2-part passes. ​Access cards will be provided by your FA leads, as required by your role.

  • Access to any venue (including OVHs) will require an access card or an On Location Accreditation pass (for OVH venues), ​
    in addition to the P24 Identity Card (or 1st part pass).

  • If any incorrect information was submitted during registration in Rosterfy that does not match your personal ID, the discrepancy will be identified and fixed at the Accreditation Center.

Accreditation Pickup Tips

Below are some tips and things to expect when picking up your Olympic accreditation. Keep in mind that you must wait to receive an email stating that your accreditation is ready for pick up.

• Once you arrive at Porte de Versailles, follow the pink signage along Ave Ernest Renan to the entrance of the accreditation center at Pavillion 2.

  • Please do not forget your identity document - make sure it is the same one that you provided in Rosterfy.

  • To avoid peak waiting times, try and time your visit for 8:00 am, when the center first opens or later in the evening, after 6:00 pm. Colleagues have shared that the center is still relatively quiet at these times.

• It an issue arrises that the accreditation center cannot solve, reach out on the WFO Helpdesk or to a member of the Accreditation team

French Labour Laws

Employees on a Day Package (Applicable both to on-site staff & international travelers)

  • WEEKLY REST: A minimum rest of 24 hours is mandatory every week or  least one day off within 7 days

  • PAUSE: Minimum 20 minutes every 6 hours

  • DAILY REST: Minimum 11 consecutive hours between each day. Can request a derogation to labour authorities (down to 9 hours) If employees do not have 11 consecutive hours rest between each day, we will request a derogation.

  • SUNDAY WORK: No specific compensation, we will deduct the work on Sunday from the 215-day package

  • NIGHT WORK (from 10 PM to 7 AM): The compensation will be 25% of the duration of the night work to be taken as a recuperation day. For example, if an employee works until 1 AM for 6 days in a row, there will be 3*6 = 18 night hours. The recuperation will be 18*25% = 4,5 hours off to be taken after the Games.

Employees on a 35-Hour Contract, Including Apprentices

  • MAXIMUM DAILY HOURS: 12 hours on an exceptional basis (2 times per week, 3 times per month, 12 times per year). If employees work more than 12 hours more than 2 times per week, we will request a derogation

  • MAXIMUM WEEKLY HOURS:  48 hours in a single week

    By way of derogation, the maximum number of hours in a week may be increased, in exceptional circumstances, to a maximum of 60 hours (subject to the agreement of the labour authorities). If employees work more than 48 hours per week, we will request a derogation.

  • WEEKLY REST: A minimum rest of 24 hours is mandatory every week or least one day off within 7 days

  • PAUSE:  Minimum 20 minutes every 6 hours

  • DAILY REST:  Minimum 11 consecutive hours between each day. Can request a derogation to labour authorities (down to 9 hours) If employees do not have 11 consecutive hours rest between each day, we will request a derogation.

  • SUNDAY WORK: Compensation of 1,5 hours off for each hour worked on a Sunday.

  • NIGHT WORK (from 10 PM to 7 AM): The compensation will be 25% of the duration of the night work to be taken as a recuperation day.

Phone Usage Options:

Full-Time Employees & International Level 1s

International cell phone usage guidelines will vary team by team. Please check with your manager or Functional Area lead about their plan for your team! Some teams have opted to provide a solution in advance while others will need to purchase their own international plan.

INTERNATIONAL DATA OPTIONS:

1. eSIM: If you anticipate needing to make calls often while on-site, it is recommended to purchase an eSIM so that you will be connected to a local French network. Connection to a local network will ensure more reliable service.

2. Current Provider International Plan: If your role does not require calls on your personal cell phone often, you may opt to purchase the international plan from your current provider. They may have multiple options for you to purchase, such as a day pass system or a month plan, so check your provider's website for more information!

Please defer to your manager or FA lead for any questions about what the best option is for you!

DEEL Contractor Expenses

DEEL invoices must be submitted monthly, before the 5th day of the following month. For example, an invoice for July must be submitted by 5 August. Make sure that the “Date Submitted” reflects the last day of the month in which you incurred the expenses!

  • UMAY Safety App - travel throughout Paris with safety and security in mind with resources including live alerts, incident reporting, and access to “safe places”
