Credentialing & Access Management

On Location Credentialing (otherwise called Accreditation) and Access Management (ACR) FA is in charge of the following main tasks:

Ensuring that OL Staff & Vendors are properly accredited for Paris 2024 Games

In close cooperation with our OL Workforce Operations colleagues, OL ACR is acting as the accreditation liaison officer between On Location and Paris 2024 with the final goal of ensuring that all On Location staff and vendors get accredited in the best possible way, in order to perform their official hospitality function within the In-Venue Hospitality (IVH) Lounges, during the Olympic & Paralympic Games.

We are currently in the final phase of discussion related to the Accreditation Privilege Matrix, which was built based on the accreditation requirements collected from the relevant OL FA focal points and that is expected to be shortly signed-off by IOC and Paris 2024.

As a next step, we will meet with all OL FAs again to gather the requirements of Access Cards (the 2nd part passes to be used by the great majority of On Location staff & vendors to access Olympic and Paralympic Venues) that we will then discuss with Paris 2024.

Moreover, our OL TECH colleagues and the relevant system provider are currently finalising the customisation of the Accreditation System and its integration with the Workforce System (Rosterfy) that will be used for the collection of all OL workforce accreditation information and submission to Paris 2024; OL Staff will be shortly asked to review and confirm the information previously added in Rosterfy, and we should soon be able to open the System Accounts in order for OL Suppliers to start registering.

Ensuring Access Control plans are in place at Out of Venue Hospitality (OVH) controlled venues 

In cooperation with OL Security, Technology, and the relevant OVH Teams, we will implement Accreditation & Access Control processes, policies, and procedures. This will ensure safe access and allow smooth flows and operations within the OVH Venues.

We are about to finalise the accreditation zoning to be applied across all OVH Venues and the type of passes to be used in order to access OVH venues and move across the different areas.

What is Business Operations?

The newly formed Business Operations team is engaged with a few key areas across our project:

  • We are working with many of our Asset FAs in support of developing the Itinerary Moments project, which will capture key details about our assets to display on each of our guests itineraries. Key FAs involved include Program Management, Tech, Transport, Special Events, Tours, Accommodations, IVH/OVH, Ticketing, and Guest Communications.

  • Our team will also help develop processes and workflows on how changes to itinerary information will be captured and tracked from creation through Games time.

  • The Business Operations team, with the help of Matt Smith, also supports by providing access to certain systems used within our project such as SharePoint, Confluence, Airtable, as well as Salesforce for key FAs.

  • We also provide General Functional Area support with process development, efficiencies, trainings & documentation for new process implementation.

Transportation.

A successful transport operation is critical to the success of any major sporting event. With 10 million spectator tickets available and over 50,000 workforce, contractors, media and volunteers, along with athletes and the Olympic Family, there will be significant demand on the transport system. Paris’ transportation environment is a complex one, and the abundance of venues in the city center adds to it.

Imagine adding more than 2,000 buses and 3,000 cars to the normally already congested traffic in the narrow streets of Paris! These are certainly challenging numbers. And it does not stop there. We still have the Torch Relay, and there will be Road Events on virtually every day of the competition. This means street closures and alternative route planning.

As if it were not enough, we have the unprecedented Opening Ceremony, which will be held on the Seine River, massively impacting the circulation, especially considering the security measures to be put in place and the number of spectators it will attract - to name a few of the complications!

To deal with these numerous challenges, we have hired a group of extremely seasoned professionals with years of experience in the Olympic Games. With their overall mission being to ensure transport is safe, reliable, and on time, the TRA Team will manage assets that include 300 buses, 150 smaller vehicles, and a team of 158 Games Time staff.

Technology will play a key role in our daily operations with the TROC (Transport Operations Centre) facilitating real-time access to info from various sources, and therefore providing adequate management of resources, leading to a more effective, sustainable, and profitable delivery.

By end of October, the Transportation team will release further details on Road Events, Olympic Lanes, and Torch Relay. Stay tuned!

Ticketing.

Paris 2024 will be the first Olympic and Paralympic Games to go 100% digital in its ticketing and access to venues - no more printed tickets and hospitality passes! This brings major changes to how Ticketing will be managed from now and into the future.

On Location is at the forefront of this transition, working closely with Paris 2024, their system suppliers, and our own Product and Operations, IT, and Database teams in areas such as ticket design, seat assignment, and technology solutions to provide a smooth experience for our clients and guests.

In past Games, Ticket Managers led fulfilment operations on the ground, which involved storing thousands of valuable, irreplaceable printed tickets, working in secure spaces with safes and hours and hours of counting, tracking, and allocating physical tickets until they were packed into envelopes and delivered into the hands of guests.

Moving from printed to digital tickets poses new challenges, but it also creates opportunities, more cost-efficient operations, and guards against counterfeiting. Data management now becomes the primary skillset of Ticket Managers, and our work can be done remotely from laptops in minimal space. Ticketing will still need to work closely with Database and Communication teams to ensure that each guest has the correct ticket(s) and - where applicable - hospitality access delivered to an app on their mobile phone.

Education will be key during this transition, and On Location Ticketing will have a major role supporting our B2B and B2C clients, sub distributors, Paris 2024 and IOC Stakeholders, our teams on the ground and at venues, and first and foremost, to ensure a premium Games experience for our guests.
